Job Description

Reporting to Senior Management, the Office Manager will be responsible for but not limited to:

  • Support and drive the final stages of implementation and configuration of Oracle NetSuite & NextService within the company.
  • Short term (6 to 12 months) working to establish the new ERP platform, performing daily accounts payable and accounts receivable tasks, including invoice processing, payments, and collections with a strong focus on ensuring the adopted process are in line with the business needs. This will be achieved by consolidating all administrative staff activities to align with the ERP platform.
  • Longer term, ensuring the ERP system and processes are maintained and adjusted to suit the business needs.
  • Support the General Manager, Directors, and external accountant to monitor income and expenditure within the Capital Sales, Rental Fleet and Spare Parts sectors of the business.
  • Manage, control and drive improvements to the respective processes, and supporting data, to allow for efficient invoicing in respect to Sales (clients) and Warranty claims (Vendors & Suppliers)
  • Supporting Management and external accountants with monthly reporting and general bookkeeping, including inputting data to the sales and purchase ledgers.
  • Provide the day-to-day administration for the office (drafting letters, ordering all office supplies).
  • Manage and upkeep the companies DOA matrix.
  • Act as the central point of contact for telephone, email, and postal enquiries for all areas of Financial and administration management.
  • Liaising with key vendors and suppliers as required to support the business.
  • Support the Directors and General Manager in administrative HR functions, such as recruitment, safety induction and staff annual and leave as required.

The Applicant

To be considered for this role you will have a proven:

  • Proven Office Management background with minimum 5 years’ experience holding a similar role from within a busy industrial environment.
  • Exceptional organization, planning and administration skills.
  • Proven knowledge and experience with Oracle NetSuite and/or other comparable ERP systems.
  • Highly computer literate: confident and proficient with Word, Excel, PowerPoint, Outlook, internet, and data entry.
  • Self-motivated, punctual, reliable, able to maintain discretion & confidentiality.
  • Excellent written and spoken English (face to face and phone) communication skills.
  • Excellent numeracy skills.
  • Experience working flexibly in a small team, building strong day-to-day relationships with all stakeholders and colleagues.
  • Able to manage a varied workload, balancing scheduled tasks with requests for assistance from the team, which may have short deadlines.

Job Description

Based at our Wetherill Park Depot, you will be responsible for:

  • Managing spare & wear parts enquiries from our customers and own service department, processing orders, & ensuring all spare part deliveries are on time
  • Sourcing and negotiating with both existing and new suppliers, domestic and international
  • Liaise with domestic and international freight companies
  • Receiving and processing of spare & wear parts orders
  • Managing suppliers to ensure they deliver on time and to order
  • Working closely with customers, following up outstanding orders, providing resolutions and tracking order status etc
  • Managing stock levels, over multiple locations including customers sites
  • Forecasting spare & wear parts levels of stock
  • Monthly/Annual Stock reviews and related reporting

The Applicant

To be considered for this role you will have a proven:

  • Minimum 2 years’ experience in a similar role with purchasing and stock controlling experience essential
  • Ability to work in a dynamic, fast-moving environment with a high level of multi-tasking & problem solving capabilities
  • Ex works shipping, customs clearance and importing of goods experience
  • Forklift licence, highly desirable
  • Current Drivers Licence
  • Ability to read and interpret heavy equipment parts manuals and schematics
  • Record keeping and document control
  • Strong communication skills, both written and verbal
  • Customer service and complaint handling
  • Ability to work unsupervised and as part of a team
  • Excellent computer skills. An understanding of Attaché and/or a similar inventory control system would be an advantage
  • Ability to create and present reports to senior management on a timely basis

  • Strategize, develop, lead, coordinate, maintain and increase the brand awareness of SMA focused marketing campaigns at all levels within the Mining, Quarrying, Dry Bulk Handling, and related industrial sectors Australia wide.
  • Build and expand network and business relationships.
  • Create, implement and maintain the appropriate marketing strategies and campaigns for SMA website, Youtube, mail out campaigns, digital media, social media platforms, printed media including brochures, Magazines, Case Studies etc
  • Coordinate and manage all aspects of the company’s industrial event attendances.
  • Coordinate and conduct on site, any selected service providers for video, drone footage, image gathering, interviews and case studies.
  • Prepare and report marketing budgets on a monthly, quarterly, and annual basis and provide recommendations for improvement.

In your role as MAINTENANCE FITTER, primarily you will be responsible for service, maintenance, repair, and technical fault finding in the field and at various SMA facilities, working on Mobile and Fixed Crushing, Screening & Conveying equipment, Australia wide.

You will split your time between preparing new, used, and rental fleet equipment prior to delivery to clients and supporting installed equipment in the field.

The successful applicant will be required to meet the following criteria:

  • Trade qualified within preference given to the Electrical, Hydraulic and Mechanical trades
  • Excellent written and communication skills in the English language
  • Good working knowledge of Crushing, Screening and Conveying equipment
  • Understands the working conditions and has a proven working history from within a heavy equipment service environment, such as, the Quarrying, Mining, or allied industries
  • Understands and accepts the challenges of the working environment, activities, demands and needs of a busy service department within the heavy equipment, quarry, and mining sectors
  • Electrical, Hydraulic and PLC control trouble shooting experience
  • Good working experience of processes and procedures related to documenting service work to capture costs and parts usage.
  • Can work in a team environment and alone in a safe, professional, and proper manner
  • Be prepared to travel at short notice. There is a high level of frequent travel and on-site work expectancy with this role
